A Unit Secretary is to provide clerical support to the Otolaryngologist and the ENT clinical staff, ensuring a systematic and coordinated department.




  1. Answers the telephone for the Otolaryngologists utilizing positive communication skills and patient protocols.


  1. Assists patients scheduling appointments and updates schedules as needed.


  1. Audits stock and maintains supplies for the station.


  1. Prepares, sorts and delivers mail.


  1. Distributes and files memoranda, letters and reports.


  1. Assists the physician and nurses as needed.


  1. Assists in cleaning and maintaining supplies and instruments in the examination rooms.


  1. Assists the physician with ordering prescriptions as directed.


  1. Runs errands for physicians and the clinic as directed.


  1. Maintains equipment and orders repairs as necessary.


  1. Secures consultations from area hospitals and distributes to the proper physician.


  1. Assists all clinic patients answering questions, solving problems, and giving directions.


  1. Posts surgeries with the appropriate facility. (East office)


  1. Gives pre-operative instructions to patients. (East office)


  1. Is responsible for knowing the work schedule, observing work hours and maintaining a good attendance record.  (See attached attendance and punctuality requirements.)


  1. Attends in-service programs as directed or required.


  1. Establishes and maintains effective working relationships with physicians, employees, patients and the public.  Exemplifies the Company’s Five Star Program.


  1. Follows all corporate and departmental policies and procedures and complies with the Employee Handbook.


  1. Performs other tasks as needed or directed.

Performs duties under direct and indirect supervision.




  1. Accountability: Reports directly to the Otolaryngologist and ENT Clinical Coordinator.


  1. Education or Training: Must be a graduate of an accredited high school.


  1. Knowledge and Experience: Requires at least 2 years of previous office work experience.


  1. Dexterity: Must have good manual dexterity for operating office equipment. Must be able to function in an office setting.  Must be able to type 35 words per minute.


  1. Accuracy: Must be able to transcribe information received from patients, including           insurance coverage, social security and telephone numbers without error.


  1. Physical Activity: Physical activity involves keying, writing, reaching, carrying, looking, listening, talking, bending, lifting, standing, walking, and much sitting, resulting in               light work.


  1. Exertion Requirements: Light – must be able to lift or carry up to 10 pounds of weight up to 10 feet occasionally (up to 1/3 of the time), or a negligible amount of weight up to 10 feet frequently (from 1/3 to 2/3 of the time).  Light work requires sitting most of the time,          but may involve periods of standing and walking depending on task requirements.


  1. Working Conditions: Works in an office setting, which is well-lighted, ventilated and temperature regulated.


Must be able to concentrate on work tasks amidst distractions, such as noise,                      conversations and foot traffic.


Must be able to work in a confined area performing repetitive work for extended periods of time.


  1. Hazards or Risks: In office minimal.


  1. Worker Characteristics: Must have responsible, ethical and professional manner with the ability to listen, learn, plan and organize. Must be able to communicate effectively with people of different races, sexes, ages and social classes.


  1. Non-performance Requirements: Must have a valid driver’s license or picture identification and a Social Security card or work permit.
